[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide offsite records storage and management services to the government authority located in Dallas, TX.
- Business records hardcopy records storage - multiple formats and sizes, including but not limited to, paper in standard and non-standard cartons, microfilm, radiology records (i.e. x-rays)
- Capacity for approximately Twelve Thousand (12,000) boxes of current inventory
- Approximately Ninety-five Thousand (95,000) linear feet or record storage space
- General and customary services associated with offsite records storage (e.g. retrieval, refile, new carton ingestion, box delivery, etc.)
- 24/7 access to online inventory and box management tracking system with robust reporting
- Storage of hardcopy medical records in terminal digit order
- Controlled/limited access to records
- Data file of inventory to update Epic with record location
- Image conversion - hardcopy to electronic
- Image-on-demand - hardcopy from records in storage to softcopy version for electronic delivery
- Media destruction to include, but not limited to: magnetic backup tapes to include mini cartridges, zip disks, floppy disks, optical media (e.g. CDs, CD-ROMs, DVDs, DVD-ROMs).
(2) A pre-proposal meeting will be held on October 5, 2022
(3) All the questions must be submitted no later than October 13, 2022.

Onshore (USA organization Only)
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office premises.
