[A] Budget: Looking for Proposal
[B] Scope of Service:
(1) Vendor needs to provide records storage management service including public records, which are essential to the administration of government, and must be transported, stored, managed, and destroyed in a manner, which ensures county’s ready access to vital information and promotes economical operation of government to the government authority located in Syracuse, NY.
- Vendor must obtain, and keep in effect at all times during the life of the contract fire insurance, miscellaneous property insurance, water damage insurance, and burglary and theft insurance, by which the County is insured, protected, and indemnified against loss of or damage to records of the County while such records are being transported, stored, maintained, or destroyed by the vendor, and which contracts of insurance are satisfactory to the County.
- The environment, in which any record of county is stored, must be clean, secure, and stable: the temperature of the storage environment must be maintained between 65 degrees and 70 degrees Fahrenheit, with fluctuations of no more than 2 degrees; the relative humidity of the storage environment must be maintained between 35 percent and 45 percent, with fluctuations of no more than 5 percent; the storage environment must protect the documents from ultraviolet light, air pollutants, vermin, damage, disaster, water, fire, and theft; access to the storage environment must be limited, as authorized by county; and the storage environment must be securely locked and fully protected by adequate fire suppression and security systems.
- Records Destruction approximately 320 cartons
• Approximately 57,000 cubic feet of records stored in 15” x 12” x 10” record storage boxes.
• Approximately 1,800 cubic feet of Finance and Comptroller’s tax roll and payroll books, stored on pallets and wrapped in shrink-wrap covering.
• Approximately 2,800 Mortgage books, deed books and miscellaneous books from the County Clerk wrapped in protective brown paper.
• 38 Medical specimen slide cabinets - 16” x 19” x 5”.
• 15 storage cabinets - 18” x 78” x 86” - of master copies of silver original microfilm
• 10 storage cabinets - 52” x 27” x 14” - of master copies of silver original microfilm
• 3 storage cabinets - 29”x 39” x 15” - of master copies of silver original microfilm
• 1 storage cabinet - 57” x 21” x 29” - of master copies of silver original microfilm
• Approximately 12 miscellaneous storage boxes of microfilm
(2) All the questions must be submitted no later than July 7, 2022
(3) The contract period will be for one year.
