[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide medical records document storage service to maintain boxed paper records, file cabinets or bound documents (e.g. pamphlets or books) as necessary to the government authority located in Richmond, VA.
- Transfer of documents from current containers or shelving units to the necessary storage containers provided by the contractor, including labeling, shelving, indexing and inventorying. some documents may not require refiling in contractor containers but shall be labelled, shelved, indexed and inventory.
- Retrieval and reference searches including removal of files or containers for possible copying, faxing to specified locations, recycling, shredding, and destruction.
- Tracking of activities such as pulls and refiles to include date of action, name of requestor and action taken.
- Re-boxing cartons that may deteriorate from age or climate conditions and are damaged from handling.
- Refiling of all pulled documents.
(2) Vendor must be located within a 15-mile radius of HQ to facilitate ease of pickup, retrieval and document review.
(3) Contract term will be one year.
